Privacy Policy

ENGR Solutions (“ENGR,” “we,” “us,” or “our”), operated by Omorogbe Brothers Inc., is committed to protecting the privacy of individuals whose personal information we handle. This Privacy Policy explains what personal information we collect, why we collect it, how we use and safeguard it, and the choices and rights available to you.

We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. Where we provide training or services to a client organization (such as a public library or municipality), that organization is the party responsible for its own privacy obligations, and ENGR processes personal information on its behalf and under its direction in accordance with our agreement with that organization.

1. Scope

This Policy applies to personal information we collect through:

  • Our websites — including engrsolutions.ca and engr.solutions (the “Sites”);
  • Our online training platform — our learning management system (LMS) used to deliver courses (the “Platform”); and
  • Direct interactions — such as email, contact forms, consultations, and booking requests.

2. Information We Collect

a) Training platform (course participants)

When an individual is enrolled in a course on our Platform, we collect only the information needed to administer the course:

  • Name;
  • Login credentials, being a username and email address (for organizational cohorts, the work email address provided by the sponsoring organization);
  • Course activity and progress (lessons completed, completion status, and certificate records); and
  • Responses to course assessments, including pre- and post-course self-assessment quizzes that capture a participant’s opinions about, and self-reported use of, AI.

We do not require, and ask participants not to enter, sensitive personal information, confidential information, or employer/client information into course exercises. We do not use employee or staff ID numbers as login identifiers. We do not perform marketing or behavioural profiling on enrolled course participants.

b) Website visitors

When you visit our Sites, we and our service providers may automatically collect limited technical information such as IP address, browser type, device information, and pages viewed, through server logs and standard analytics. This information is used for security, operation, and improvement of the Sites.

c) Information you provide directly

If you contact us, request information, subscribe to communications, or book a consultation, we collect the details you choose to provide — typically your name, email address, organization, and the content of your message.

3. How We Use Your Information

We use personal information for the following purposes:

  • To authenticate users and provide access to the Platform and course content;
  • To track course progress, provide per-user reporting to a sponsoring organization’s designated administrators, and issue completion certificates;
  • To operate, secure, maintain, and improve our Sites and Platform;
  • To respond to inquiries and provide requested services; and
  • To meet legal, regulatory, and contractual obligations.

We use personal information only for the purposes identified above or for purposes to which you have consented, unless otherwise permitted or required by law.

4. Consent

We collect, use, and disclose personal information with your consent, except where collection, use, or disclosure without consent is permitted or required by law. Depending on the context, consent may be express or implied. Where ENGR delivers a course on behalf of a sponsoring organization, enrollment and the associated data handling are arranged through that organization. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details below; withdrawing consent may affect our ability to provide certain services.

5. Service Providers and Disclosure

We do not sell personal information. We may share personal information with trusted service providers who perform functions on our behalf, and only to the extent necessary to perform those functions. These providers are required to protect personal information and to use it only for the purposes for which it was shared. They include:

  • Hosting — Web Hosting Canada (whc.ca), which hosts our Platform and stores account and course data on infrastructure located in Canada;
  • Video delivery — Bunny.net, a third-party content delivery network used to stream course videos (see Section 6 regarding cross-border delivery);
  • Business operations — providers that support payment processing, email and customer communications, scheduling, and analytics for our Sites and general business (these are not used to process the data of enrolled course participants delivered under an organizational agreement).

We may also disclose personal information where required or permitted by law, such as in response to a valid legal request, or to protect our rights, safety, or property.

6. Where Your Information Is Stored (Including Outside Canada)

Account and course data collected through the Platform is stored in Canada by our hosting provider. However, course videos are delivered through a content delivery network (Bunny.net) that uses globally distributed edge servers; as a result, certain limited technical data associated with video playback (such as a viewer’s IP address) may be processed outside of Canada.

Where personal information is processed or stored outside of Canada, it may be subject to the laws of the jurisdiction in which it is held, including lawful access by courts, law enforcement, and other authorities in that jurisdiction. We take reasonable steps to ensure that any service provider handling personal information provides a comparable level of protection.

7. Data Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected, to provide our services, and to meet legal, contractual, and reporting requirements. For course participants enrolled under an organizational agreement, retention and disposal are handled in accordance with that agreement; upon conclusion of the engagement or at the organization’s direction, accounts and associated personal information are deactivated and securely deleted within a reasonable period. When personal information is no longer required, it is securely destroyed, erased, or anonymized.

8. How We Protect Your Information

We maintain reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including:

  • Encryption of data in transit using TLS/HTTPS;
  • Role-based access controls, so that personal information is accessible only to authorized ENGR administrators and to a sponsoring organization’s designated administrators;
  • Account authentication via username/email and password; and
  • Use of a reputable Canadian hosting provider with operational and security controls.

No method of transmission or storage is completely secure; however, we work to protect personal information and to respond appropriately in the event of a privacy or security incident, including notifying affected organizations and individuals where required by law.

9. Your Rights: Access and Correction

Subject to applicable law, you have the right to request access to the personal information we hold about you, to request a correction if it is inaccurate or incomplete, and to ask questions about our handling of your personal information. Where your information was provided through a sponsoring organization, we may direct your request to that organization or work with it to respond. To make a request, contact us using the details in Section 14. We may need to verify your identity before responding and will respond within the timeframes required by law.

10. Cookies and Analytics

Our Sites and Platform may use cookies and similar technologies for authentication, security, functionality, and to understand how the Sites are used. You can adjust your browser settings to refuse or delete cookies, though some features may not function properly as a result.

11. Third-Party Links and Tools

Our Sites, Platform, and training materials may reference or link to third-party websites and tools, including third-party generative AI tools. We are not responsible for the privacy practices of these third parties. Our training instructs participants to use only public, non-sensitive, or sample data when practicing with external AI tools, and not to enter personal, confidential, or organizational information into them. We encourage you to review the privacy policies of any third-party services you use.

12. Children’s Privacy

Our Sites, Platform, and services are intended for organizations and professional adults and are not directed to children. We do not knowingly collect personal information from children.

13. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date above indicates when it was last revised. Material changes will be posted on our Sites and, where appropriate, communicated to affected organizations.
